This Privacy Statement can be adapted to changed laws and regulations and/or to the way in which we process personal data. The most recent version is available on our websites.
1. Who is this Privacy Statement for?
This Privacy Statement applies to all relations and suppliers of Scania and the customers who purchase services and/or products from us, for example if You buy, lease or rent a Scania product.
This privacy statement also applies if you are not a customer of ours but do use our products or services, for example if you work as a driver for a business customer and use one of our apps or the services we offer on our vehicles. . It is also possible that you visit our website, or apply (online) with us. In that case we also use your personal data.
This Privacy Statement also applies to former relations as long as we still have information about you.
2. Who is responsible for the processing of Your data?
All parts of Scania process personal data. All companies belonging to this group have the same privacy policy. So you always know where you stand when one of the Scania parts processes personal data.
When we refer to Scania in this Privacy Statement, we mean the group companies that process personal data in accordance with this Privacy Statement. These are:

3. Which bases do we use for the processing of your data?
In order to be able to process personal data, we must be able to rely on one of the legal grounds provided for by law. We rely on the following legal bases:
- Necessary for the execution of the agreement – such as, for example, for the delivery of products or whether or not to enter into or perform an (employment) agreement.
- Implementation of a legal obligation – such as sharing data with the tax authorities.
- Legitimate interest - including improving the quality of our products and services, informing about the use of our products and services, preventing fraud; marketing and sales.
- Consent – such as your consent to send You personal offers based on the information Scania holds about You. NB: you have the right to withdraw your consent at any time.
4. What personal data do we process?
Among other things, we may process the following personal data:
a) Account details
We have your contact details, information about services/products ordered by you and information that we receive when we contact each other. We have information that allows us to identify or communicate with you. This information includes Your name, address, telephone number, copy of Your ID (depending on the service or service, email address, usernames and passwords, date of birth, language preferences, delivery address details and other contact information that we obtain directly from You.
If you buy a product, we record information about the transaction and the/the purchased service/product, such as the type of agreement, the location where you purchase the service, the delivery address, the date of purchase and the type of the purchased product.
In order to provide you with the best possible service, we may also keep track of which products or services you are interested in.
If we interact with you by phone, email, social media, or at our office locations, we may record the conversation we have. This concerns, for example, the content of a complaint, the interest in a service or product or a question about the payment of an invoice
We also have your data if you register for an information service (such as notification about the availability of a product or a newsletter) or if you participate in a contest, event or competition.
b) Financial data
We have information to charge You for the fee for purchased products and/or services or to make payments to You, such as Your bank account number, invoices and credit notes.
If you use our services or buy our products, we collect data to be able to charge you the subscription fee, the usage costs and/or the purchase price. These are your payment details, such as your bank account number, payment history and billing details.
In the context of creditworthiness investigations, we exchange financial data and data about payment behavior and creditworthiness, both between parts of Scania and with our business partners, such as Graydon. In addition, we sometimes receive information about negative registrations, bankruptcies, payment details, relocations, ownership, address details, telephone numbers, socio-demographic data and other data that are useful for carrying out a creditworthiness test. We also have information about you from public sources so that we can see if you may be bankrupt or in debt counseling.
c) Usage data
If you use our (supporting) services such as Connected Services, this use creates data in our network such as location data of the vehicle, kilometers traveled, etc. In addition, we also have data about your use of our services and/or products. to be able to send you an invoice.
When you visit our websites or use apps, we record certain technical data such as your IP address, the quality of the connection, your location, the number of any cookies placed, information about the computer, the type of tablet / smartphone that you use and data about (the settings of) your browser. We also record how you use our website and apps. This concerns which web pages or app parts you visit, the duration of your visit, what data you enter on our website or app (such as in searches and steps in the ordering process) and the previous/next visited websites and the advertisements displayed on them. .
If your employer has concluded a Connectivity Agreement with Scania, Scania will collect data from you as a driver regarding vehicle identification, the data from the digital tachograph, vehicle usage and location.
d) Audiovisual data
When you visit our office locations or use our websites, in some cases we store your (personal) data in audiovisual form, such as surveillance images made at Scania offices or recordings of telephone conversations with our customer service and international service.
Special personal data
We do not record any special personal data related to your health, criminal law, ethnicity, religious or political beliefs, unless absolutely necessary. This only happens in very specific situations, for example when we are investigating the coverage under insurance provided by us and any criminal information is relevant for this. Information about fraud also falls under criminal law data, which we record.
5. Overview of the most important processing operations
Below you will find a general overview, which contains the most important data processing operations by Scania.
a) To be able to enter into a relationship with You
If you are a customer or if you want to purchase a new product or service or if you apply for a job with us, we need personal data. For example, we need (personal) data from you to be able to establish your identity for some forms of our services (such as a copy of your identity card or passport). In some cases, we also check Your creditworthiness to determine whether You are able to meet Your financial obligations under the agreement with Scania. For this we can also use data about you that we receive from service providers that perform credit checks for us, such as Graydon.
b) Sales and delivery Scania Products and services
When you purchase a Scania product or service, we want to serve you well. For this we process personal data. We use your name and address details, for example, to maintain contact with you and to be able to deliver the products and services to you at the desired time and address.

c) Billing
We use personal data to receive payment from You as a customer or to make payments to You as a supplier. If you are a customer of ours, we prepare invoices based on your data. After sending the invoice, we sometimes collect the amount by direct debit. You have then given permission for this. If you do not pay our invoice after repeated reminders, we can outsource our claim or transfer it to a collection agency or other third parties, such as our external lawyers. To the extent necessary for the collection and/or transfer of this claim, we will also provide information about you to the collection agency or these third parties.
d) Personal Marketing
We use your data to be able to communicate with you by e-mail, text message, post and telemarketing about our (new) products and services that you may find interesting, events or promotions organized by us in which you can participate, such as promotional offers, business trips , contests or promotional games of chance. We also use the information we collect via cookies about your behavior on our websites. By analyzing this, we can recommend our clients services and products that meet their needs.
We never sell your information to third parties for marketing or sales purposes. We do, however, share Your data with parts of Scania for marketing or sales purposes and for creditworthiness monitoring.
You can always indicate that you do not want us to use your data any longer.
e) Customer Satisfaction Survey
We sometimes process Your data in customer satisfaction surveys we carry out, for example by asking you via SMS to cooperate in the “Happy with Scania” survey. In this way we can help our management make better decisions about our products and services.
f) To comply with legal obligations
On the basis of certain (international) laws and regulations, we are sometimes obliged to pass on information about you to a government institution or to a supervisory authority. Because we have to comply with legal obligations and treaties, we sometimes have to provide information about you to the official authorities on the basis of a request made by them.
g) Archival Purposes
We do not collect more personal data than necessary for the above purposes. If we do not keep the data for those purposes, we can still keep the data for archival purposes. That is, they are only used in legal proceedings or for historical, statistical or scientific purposes.
h) Website
We collect data when you visit our website and use certain functions. For example, you will be asked for Your email address and a password if You use the Scania Configurator. In that case, your data will only be stored to give you access to the Scania Configurator and the functions available therein. No additional personal information will be stored without further prior consent.
If You have previously submitted a 'Request for Quote' to Scania, the information submitted in the quote request form will be saved and may be distributed to other Scania entities and/or official Scania dealers.
We use the data to continuously evaluate our websites and make adjustments so that we can serve you even better.
Sales and delivery products
We sell various products such as trucks and related products, as well as merchandise. We use Your information to enter into and perform relevant agreements with You and to provide the service You may expect from us.
Repair and maintenance
We provide repair and maintenance of vehicles. We use Your data to perform those services and to ensure that they are performed in a timely manner. That is why we can contact you on our own initiative, also in the context of customer satisfaction before and/or after performing these services.
Rental & Leasing
We rent and finance vehicles. We use Your information to enter into and perform relevant agreements with You and to provide the service You may expect from us
Connected Services
With the Connected Services product, we provide you with data collected on board the connected vehicles, automated tachograph reports, remote diagnoses and driver coaching. The collected data contains personal data of the drivers who drive the Scania trucks and is made available to you on the basis of the agreement concluded with you. We also use drivers' personal data to contact drivers to help them reduce their fuel consumption, optimize their vehicle's uptime and drive as safely as possible
Premium Services
Through our Premium Services, the contracted vehicles are maintained and, if contracted, repaired if necessary. We use Connected Services to read out the contracted vehicle to plan maintenance and to detect any technical problems at an early stage so that unnecessary downtime can be avoided.
Training & Education
We provide training and education. We use Your data to conclude and execute relevant agreements with You. We also pass on your data and/or of the person following the training/education in certain cases to certification and government institutions.
Insurances
We provide insurance services. For this we have to exchange personal data. For example with an insurer with which you have taken out insurance through us and/or in the context of the settlement of damage.
Assistance
We provide roadside assistance if you are unexpectedly stranded with your vehicle as a result of a technical defect or damage. For this we use your data to maintain contact with you during the breakdown in order to get you back on the road as quickly as possible. We record in our systems what happens during the breakdown.

6. Does Scania share my data with third parties and why?
To provide the best products and services, we leverage our international organization and a global network of trusted partners. Therefore, we may store or share Your data in whole or in part with Scania parts in Sweden or with trusted business partners who assist us. This concerns:
a. Scania parts inside and outside Scania
We exchange data within Scania parts or Scania parts outside of it for reasons related to central business operations, laws and regulations or reporting and/or the sale of products and services for other Scania parts.
b. Government agencies
In order to comply with laws and regulations, we may pass on data to the relevant authorities, for example to combat terrorism or prevent money laundering.
In certain cases, we are required by law to share Your information with third parties, including:
- Government agencies, regulators and supervisors, such as the tax authorities.
- Judicial authorities such as the police, prosecutors and courts.
- Lawyers, for example in the event of bankruptcy or for the collection of our invoices and company accountants
c. Service providers working for Scania Benelux
Sometimes we engage other companies to help us provide our services. These companies sometimes need access to your information in order to perform work on our behalf, but may not disclose or use this information for any other purpose.
Service providers support us in areas such as:
- Making and processing payments;
- Collection;
- Maintenance of Scania vehicles;
- ICT management and hosting of web environments;

- Marketing activities, events or communication with relations;

In those cases where we share Your data within Scania divisions or with our business partners, we ensure that they only have access to (personal) data that is necessary for their specific work and that they treat Your data with the same respect and integrity as we do. We also conclude so-called processing agreements for this purpose, in particular to protect your interests.
When we share your personal data internally or with third parties in other countries, we always put in place appropriate safeguards to protect this data.
We will never sell your information to third parties.
7. Where is my data processed?
Scania is an international company operating in more than 100 countries. To provide the best products and services, we leverage our international organization and a global network of trusted partners. Therefore, we may from time to time choose to process all or part of Your data both inside and outside the European Union. We always comply with existing regulations and we ensure that your data is handled in a safe manner. When Your data is transferred to countries outside the EU, this is done using adequate security provisions and rules.
8. How long will my data be kept?
We keep personal data for as long as it is necessary for the purpose for which we collected it and for which it is processed. After that, they will in principle be deleted as soon as possible, unless there is a legal obligation to keep certain data for longer. For applicants, we keep data for a maximum of four weeks after the relevant vacancy has been filled, unless the applicant gives us permission to keep his data in his portfolio for a maximum of 1 year for the purpose of filling future or other vacancies, after which that data will be removed after one year.
9. How is my data protected?
We attach great importance to the protection of your personal data, and we will take all appropriate technical and organizational security measures to adequately protect the personal data we process against manipulation, loss, destruction or unauthorized access.
Depending on the development of available security products and services, we continuously improve our security measures.
10. What are my rights?
a. Right of access
You can request an extract free of charge on which you can see which personal data we process in relation to you.
This extract will be sent to the address registered in our systems. You can also choose to collect it – after identification – at a Scania location.
b. Right of rectification
You have the right to update or have your data updated.
c. Right of erasure
In the following cases you can have Your personal data removed immediately:
- when the data is no longer necessary for the purpose for which it was collected;
- when the processing is based solely on your consent and you withdraw your consent;
- when, for example, you withdraw your application;
- when it is required by law to delete the data;
- in the event of unlawful processing;
- if you have rightly objected to the processing of your data.
d. Right to object
You have the right to object at any time to the processing of Your personal data for direct marketing. That is an absolute right, so as soon as you object, we will stop using your data for direct marketing.
You also have the right to object to the processing of your data in the context of a legitimate interest. If you object, you must state in detail what you object to and why.
We must then demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms, or demonstrate that we are processing the data for the establishment, assertion or defense of legal claims.
e. Right to restriction of processing
You have the right to request a temporary restriction on the processing of Your data. This is possible in the following cases:
- if You believe that Your information is incorrect and You have therefore asked us to correct it. While we are validating Your data, You can ask us to restrict the processing of Your data;
- when the data is unlawfully processed and You do not want Your data to be deleted, but instead request that the use of Your data be restricted;
- when You need Your data to establish, assert or refute legal claims, even if we no longer need to process Your data
- when you have objected to the processing.
f. Right of data portability
You have the right to request the data that you have provided to us yourself or that we have obtained automatically from you (for example, location data) for use elsewhere. This right only applies where our processing of your data is based on the legal ground that you have given us permission to process this data or where you have entered into an agreement with us.
We will comply with the above requests, unless we have a compelling, legitimate interest not to delete the data, which outweighs Your privacy interest. If we have deleted the data, we cannot immediately delete all copies of the data from our systems and backup systems for technical reasons. We may refuse to comply with the aforementioned requests if they are made unreasonably frequently, require unreasonably heavy technical effort, or have unreasonably heavy technical impact on our systems or endanger the privacy of others.
You can make the aforementioned requests or object by sending a letter with your name, address, telephone number and a copy of a valid proof of identity to our e-mail address BNL.GDPR@Scania.com. Do not forget to make your identification number illegible on your copy of the identity document and to cover the passport photo before you send it. You will receive an answer within 4 weeks.
11. Cookies
We use cookies when offering electronic services. A cookie is a simple small file that is sent along with pages of a website and is stored by your browser on the hard drive of your computer or on your smartphone or tablet. This way we automatically recognize you on your next visit. This also allows us, among other things, to combine different retrievals from pages of the website and to analyze the behavior of users.
